When it comes to conferences, trade shows and other corporate events, name tags are an essential tool to keep the conversation and business flowing smoothly. Without name tags, things could become awkward and stilted in no time. However, there is a right and wrong way to go about designing and printing the name tags for your event. Follow these tips to ensure that you get it right the first time.

Provide the full name. It would be great if everyone is on a first name basis by the end of your event, but don’t bite off more than you can chew. Include both the first and last name of every attendee on each name tag to ensure that each person is clearly distinguishable. This ensures that every attendee has a chance to remember the full name of each person they converse with, and makes networking far less complicated. Keep both the first and last name in the same font size.

Stay title-free. There’s no need to go overboard with the descriptions on each name tag for your attendees. Titles like ‘Ph.D.’ and ‘Professor’ are only really relevant at a medical convention or similar event, and in most scenarios these distinctive titles will only alienate guests from each other and make it more difficult for junior members of the meeting to speak up. Keep the information simple, and trust that these details will come up naturally as conversations progress between attendees

Include affiliations. While honours and titles won’t be necessary, it may be useful in some circumstances to include the company or branch that each attendee is affiliated with on the name tag. This can help guide the networking in a productive direction. Make sure the affiliation information isn’t more prominent than the person’s name, however, as seeing their name clearly is the priority.

Don’t be shy on font size. We don’t all have perfect vision, so assume that a larger font is preferable regardless of your audience. Don’t be afraid to fill up the tag with print – empty space isn’t essential, whereas being able to read the person’s name clearly is. Remember to adjust the font size for each tag so that the attendee’s name fits perfectly and doesn’t look messy.

Double-check the spelling. Before you print, re-check every single name. You never know when a mistake could turn up and embarrass you.
